Reports To: Assistant Superintendent of Curriculum and Student Support

Overview: Beacon City School District is seeking a highly organized and detail-oriented Confidential Administrative Assistant to support the Assistant Superintendent of Curriculum. The ideal candidate will provide high-level administrative support, with a special focus on coordinating and ensuring compliance with Title I grant programs. This is a key role in ensuring efficient day-to-day operations and facilitating communication within the Curriculum Office and across district departments and schools.

Key Responsibilities:

  • Provide confidential administrative support to the Assistant Superintendent of Curriculum.
  • Maintain accurate records and documentation related to Title I, II, III, and IV funding, programs, and compliance reporting.
  • Assist in the preparation and submission of Title I grant applications, amendments, and required documentation.
  • Monitor Title I budgets and support the purchasing, requisitioning, and expenditure tracking processes.
  • Draft, proofread, and manage correspondence, memos, board documents, and official reports.
  • Draft, proofread, and manage the caregiver notice for the district's Academic Intervention Services program.
  • Manage the Professional Growth system on Frontline, which includes entering professional development sessions, requests, and finalizations of hours.
  • Oversee the Teacher and Principal APPR Evaluation completion process through Frontline.
  • Manage scheduling, calendars, and appointments; coordinate meetings and professional development sessions to ensure seamless operations.
  • Communicate effectively with school principals, district staff, external agencies, and families as needed.
  • Maintain a high level of professionalism, discretion, and confidentiality in all matters.
  • Other duties as assigned by the Assistant Superintendent of Curriculum.

Qualifications:

  • High school diploma or equivalent required; Associate’s degree or higher preferred.
  • Minimum of 3 years of secretarial or administrative experience, preferably in a school district or public sector environment.
  • Experience with grant management, budgeting, or federal program compliance strongly preferred.
  • Strong proficiency in Google Workspace (Docs, Sheets, Drive, Gmail) and Microsoft Office.
  • Excellent written and verbal communication skills.
  • Ability to work independently, manage multiple priorities, and meet deadlines.
  • Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.

Preferred Skills:

  • Familiarity with Powerschool SIS systems, Title I program guidelines, or federal grant processes.
  • Knowledge of Frontline, eSchoolData, or other school management systems is a plus.
